PROVISION OF CLEANING SERVICES FOR THE EASTERN CAPE PARKS & TOURISM AGENCYIntroductionThe Eastern Cape Parks and Tourism Agency (ECPTA), established and mandated in terms of the Eastern Cape Parks and Tourism Agency Act (2 of 2010), is responsible for the management of the Eastern Cape Provincial Parks. In order to achieve its management objectives the Agency requires services of and external service provider for the Provision of Cleaning Services at the New ECPTA premises located at No 17 Fleet Street (Cnr of Fleet Street & Oxford Street) East London CBD.ObjectiveThe objective of the project is to ensure hygiene & safety requirements are met. These premises are used by ECPTA employees as well our visitors so it is important to make sure that they hygienically clean in accordance with hygiene requirements. The cleaning must be done at least Three (3) times a week namely Monday, Wednesday, Friday.1.    GENERAL REQUIREMENTS

a)    Cleaning services of the Eastern Cape Parks & Tourism Agency premises located at 17 Fleet Street (Cnr of Fleet & Oxford street) East London CBD

b)    Cleaning services shall be performed 3 days per week (Monday, Wednesday, Friday), from 08:00 – 12:00. This excludes public holidays. Cleaning personnel may however be requested to do Deep cleaning over the weekend.

c)    ECPTA will require Three (3) cleaning personnel per day. One personnel is to be responsible for the cleaning of 1 floor.

d)    The personnel are required to be properly trained and experienced to execute the job thoroughly

e)    Cleaning personnel are required to wear uniform at all times while working on the ECPTA premises. They will also be responsible for wearing the necessary protective gear ie. Shoes, gloves,headgear,etc.  .
The names of at least Five (5) cleaning personnel must be submitted. Please also provide a copy of their I.D’s.

f)     Leaving ECPTA premises unattended (during working hours) would be deemed as the breach of contract. If on three (3) occasions there is no cleaning staff on site, ECPTA will cancel the contract with immediate effect.

g)    The Cleaning Personnel will be reporting to the ECPTA Facilities clerk on weekly basis or as and when it deemed necessary to do so.

h)    A site visitation will be conducted by ECPTA to:

a)    Validate proof of address

b)    Verify registered equipment required

c)    Verify business operation

Compulsory Site meeting

For the purpose of a quotation and orientation, a compulsory site meeting is scheduled to take place at No. 17 Fleet Street (Cnr of Fleet & Oxford Street) on the 10th October 2016 at 10:00. This will allow bidders to ask any questions and to view the building.

Commencement Date

The contract between ECPTA and the successful bidder will commence from Monday 17 October 2016 Till 30 June 2017 (or until the contract is cancelled)

Structure

The Building is a Three (3) story structure with Parking lot (See Annexure B)

Equipment, materials and consumables

All necessary equipment and materials for the successful execution of the above cleaning to be provided for by the contractor, which will include inter alia:

– Vacuum cleaners

– Brooms

– Mops

– Buckets

– Necessary sign boards e.g. floor wet and or slippery etc.

NB: Service providers are to supply their own cleaning chemicals to do the required cleaning of Eastern Cape Parks & Tourism Agency
